Using the iScribe System
Can I beam the iScribe application to a colleague?

I forgot my user name or password. How may I get them emailed to me?

How do I receive data from iScribe?
Your customized information is transferred to your handheld when you perform a sync while connected to the Internet. iScribe provides routine updates to the formulary and drug databases during the secure sync process.
How do I enter patient information into the my iScribe account?
The iScribe system provides an online patient management tool so that you or an authorized Administrator user can enter patient demographics on the web to be transferred to your handheld. In addition, patients can be entered directly into the handheld using either graffiti, the on-screen keyboard or a Palm-compatible keyboard.
For some patients, a practice management system interface also exists. Click here for more information.
How do I transfer patients demographics data from my PMS or EMR to iScribe? Does iScribe offer a direct interface?
iScribe does offer a way for you to transfer your patients' demographics data into iScribe from your practice manangement system, provided you have a compatible PMS system. Please call the iScribe team toll-free at 1-877-483-1324 for more details about compatible systems and the transfer procedures. For an updated list of compatible PMS systems, please visit www.hilgraeve.com/iscribe.
Is there a way to share patient information with other physicians in my practice?
Yes, there is a feature available called “Patient Sharing” that will allow you to select another iScribe user with whom you can share your patient population. On your iScribe account home page, locate My Patients and click on Patient Sharing. Please contact iScribe customer service for assistance in enabling this advanced feature.
Is training available for the iScribe system?
iScribe provides an online training that is accessible through the password-protected My iScribe website.
Of course, if you have a training question, please feel free to email us at service@iscribe.com or call toll free 1-877-483-1324.
How can I efficiently manage all of my lists-patients, drugs, formularies and pharmacies?
The iScribe system provides easy-to-use Web tools to allow you to easily and efficiently manage lists. Edit lists via the My iScribe Website and then sync to update the information on your PDA.
My Patients:
While you can create new patients and edit their records on your PDA, in most cases, it will be easier to do that using your web account and then sync the information to your PDA. For some patients, a practice management system interface also exists. Click here for more information.
My Formularies and My Pharmacies:
You can customize your formulary and pharmacy lists via your web account and sync while connected to the Internet to update your PDA lists.
My Drug QuickList:
Your PDA displays the list of iScribe drugs in three different ways: your Drug QuickList (QL), all the iScribe drugs (ALL) and grouped by therapeutic category (TC).
The Drug QuickList is a subset of iScribe drugs, which may have been initially generated by your health plan sponsor.
Edit your Drug QuickList to display your most frequently prescribed drugs with your preferred Sigs.
While prescribing, you can add a drug to the QuickList by tapping +QL on the Sig screen.
You can edit QuickList entries while prescribing—simply change any of the drop-downs on the Sig screen and tap +QL to overwrite the entry for that strength-form combination.
You can also add, remove or edit QuickList entries on the My iScribe website and then sync those changes to your PDA.
What are the benefits of the iScribe system?
The iScribe Formulary Reference system provides a fast, easy way to check formulary coverage at the point of care. With iScribe Formulary Reference, you can quickly review formulary coverage and therapeutic alternatives at the point of care.
With iScribe electronic prescribing, you can write and refill prescriptions electronically that have been pre-checked for formulary coverage. Legible prescriptions are printed and ready to hand to the patient or can be sent directly to the pharmacy (connectivity to retail pharmacies varies by region; prescribing regulations vary by state). Patient medication history is easily accessible on the handheld or on the secure iScribe website.
The iScribe Online Pharmacy Renewals tool streamlines practice efficiency with online review of pharmacy renewal requests.
Why is it important to regularly synchronize my handheld with iScribe?
Synchronizing your iScribe handheld with iScribe ensures that you receive updates and changes to the formulary and drug databases. Additionally, for eRx users, synchronizing backs up and saves all of your patient data and prescription histories to the iScribe server so that you can access data reports through the password-protected My iScribe website online and so this data is available if your iScribe application is accidentally deleted or your handheld is lost or becomes inoperable.
We recommend that you sync your handheld at least weekly. However for security purposes and to ensure accurate clinical information, we require that you sync with the iScribe server at least once every 30 days. If more than 30 days elapse without performing a sync, your application will expire and will not be accessible from your handheld. Your last successful sync date is shown on the iScribe login screen on your handheld. To re-access the application, simply sync your handheld and your system should be refreshed and available for your use. As always, if you have any questions, please contact the iScribe Customer Service Team at 1-877-483-1324.
Web Administrator Account
Can my administrator create reports of daily activity in the office?
Yes, the Administrator can run several reports, including patient data relative to drugs prescribed for specific patients, all patients who have received a particular drug, and all drugs prescribed on a particular date. In addition, the Administrator can also run a daily report of all prescriptions written and run it in a format that is compatible with standard Avery labels for easy charting. Administrators can also search formularies, access patient prescription histories and re-order prescription paper. To create an Administrator Account, please log in to the My iScribe website, and click on Administrator Account from the My Account section.
What information and reports can my administrator access?
Your administrator can access any of the reports available through the My iScribe page on the iScribe website, such as a patient’s medication history. Your administrator does not have access to the electronic prescribing software on the handheld. An administrator can view incoming Web renewal requests, but can only respond to requests with your approval.
Why does the administrator account require a different password from my iScribe password?
In order to protect the electronic prescribing software from use by anyone who does not have a valid prescriber’s license, the administrator account cannot have the same password as that which gives access to the iScribe prescription-writing software on the handheld. The administrator account allows you to designate office staff to access daily activity reports, formulary searches and patient history look-ups on the iScribe website.
Security
Can I hide my password at login?
Yes. To hide your password with asterisks at login, tap on Options from within the iScribe application and select Preferences. Tap the box “Hide Pwd.” The next time you login, your password will appear in asterisks.
WARNING: This feature is intended for graffiti users and does not work with the on-screen keyboard. Once it is activated, you must enter your password in graffiti on the handheld. If you are not comfortable entering text via graffiti, we suggest you leave the default setting and for increased security, shield your device while entering your password at application login.
Can I install security on my PDA?
There are a number of things you can do to better secure your PDA. To review some recommendations, click here.
Note: you must have Adobe Acrobat reader installed.
Can I use the iScribe system with a firewall?
The iScribe sync process communicates with our servers using standard web protocols. If you can surf the web, you should be able to sync.
What level of browser encryption should I be using?
We strongly recommend you use 128-bit encryption on your browser.
Browser security is available in two levels of encryption: 40-bit and 128-bit. We strongly recommend 128-bit encryption (also known as strong encryption) which ensures your Provider Web session is secured using the best encryption available today. If you are using IE, you can hover the mouse over the “padlock” icon and it will indicate your browser security strength.
You can use http://verisign.netscape.com/advisor/check.html to check what your browser supports.
What’s the difference between the passwords and PIN?
When you register, you are requested to create your own User Name and Password, which you need to log into your iScribe account on the web and your PDA. The PIN is a one-time entry code you receive in the mail, following a successful registration. Entering that PIN (only once) will activate advanced prescribing tools in your web account and on your PDA.
